Setup fees are charged when you purchase a system or bundle and cover the work of configuring and training that system for your clinic. Because this work begins immediately, setup fees are non-refundable once work has started.
If you cancel before any setup work has begun (within 24 hours of purchase, and before a kickoff call has taken place), we'll refund the setup fee in full.
Monthly plans bill automatically and run month-to-month with no fixed term. You can cancel any monthly plan at any time by giving us 30 days' written notice (an email to [email protected] is enough). Your plan stays active, and you'll be billed, through the end of that 30-day notice period.
We don't offer partial-month refunds for early cancellation — your access continues for the remainder of the period you've already paid for.
Bundle pricing is only valid while all the systems in that bundle remain active. If you cancel one system from a bundle, the remaining systems revert to their individual à la carte pricing from your next billing cycle, and we'll let you know before that happens.
If your system isn't performing as described after go-live — for example, it isn't answering calls, isn't booking correctly, or isn't following its configured rules — tell us within 14 days of go-live and we'll fix it at no extra charge. If we can't resolve the issue within a reasonable time, we'll discuss a partial refund or credit for the affected system on a case-by-case basis.
Ad spend on Google, Meta, or other platforms is paid by you directly to those platforms and is never refundable by us — our management fee is separate and follows the monthly plan terms above.
If you have a billing concern, please contact us first at [email protected] — most issues can be resolved directly and faster than a card chargeback. Raising a chargeback without contacting us first may result in suspension of your systems while the dispute is reviewed.
